Travel Budget Template: Estimate the Whole Trip Before Booking
Build a travel budget from the whole trip cost, not just the flight and hotel. Separate costs paid once for the party from costs paid by each traveler, then mark which amounts are estimates and which have been confirmed.
The template and numbers below are illustrative. They are not destination price estimates, quotes or a recommended spending level.
Define what the budget includes
Write the currency, number of travelers and number of nights at the top. Specify whether the total includes getting to the destination, insurance, activities and purchases made before departure.
This matters when comparing trips. A low accommodation price can be offset by a costly airport transfer or a location that adds daily transport expenses. Compare the complete options using the same scope.
Copy the cost categories
| Category | Basis | Status |
|---|---|---|
| Main transport | Per traveler or party | Quote / booked |
| Accommodation | Room total for all nights | Quote / booked |
| Local transport | Party-wide and personal | Estimate |
| Food | Per person per day | Estimate |
| Activities | Per attendee | Estimate / booked |
| Other trip costs | Specify each item | Estimate / paid |
| Reserve | Separate available amount | Unspent |
For every quote, note what it includes and when you checked it. Avoid adding a baggage allowance or breakfast twice if it is already included in the selected rate.
A worked example for two travelers
Imagine a trip with three nights and four calendar days:
- Main transport: €120 each, or €240 total.
- Accommodation: €300 for the room across all three nights.
- Food: €30 per person per day, or €240 total.
- Local transport: €60 for the party.
- Activities: €80 for the party.
The estimated trip total is €920. Dividing by two gives €460 per traveler before a reserve or any excluded costs. The hotel is already a party-wide figure; multiplying it by two would be an error.
If you choose to hold another €100 for the party as a reserve, the funding target becomes €1,020. The reserve remains separate from the spending forecast so you can see whether the basic plan is affordable.
Show committed and flexible money separately
“Paid” does not always mean refundable, and “not paid yet” does not always mean optional. Keep the provider's cancellation conditions and payment deadline beside each booking.
If the forecast exceeds your ceiling, change a meaningful part of the plan: fewer nights, a different accommodation area or fewer paid activities. Removing a small snack allowance will not solve an expensive transport choice.
Reconcile during the trip
Replace estimates with actual spending as it happens. Keep the original currency where relevant and use a consistent conversion method. For shared costs, apply the group expense rules.
You can place this budget beside a daily itinerary or build it into Google Sheets. Review the total before confirming the next booking, not only after the trip is fully committed.
